Administrative & Events Officer for the Director General

Part-time: 2-3 days a week - negotiable
Responsible to: Director General
Main purpose of job: To perform general administrative duties, organize events and provide support to the Director General as required
Location: 1 Northumberland Avenue, Trafalgar Square, London WC2N 5BW
Start date: As soon as possible
Deadline for applications: April 6th 2007
Salaries and benefits: Starting salary will be £20,000 pro rata (reviewed subject to performance); holiday entitlement is 25 days per annum.
Duties include:
- screening telephone calls and handling enquiries
- helping the director-general’s PA with diary concerns and making appointments
- dealing with correspondence
- using a computer to produce letters, reports and presentations
- organising and attending meetings and events
- devising and maintaining office systems
- making travel arrangements
- looking after visitors
- sorting and opening post
- obtaining information from the computer
- maintaining records, filing systems and computer files
- ensuring the smooth running of the office
- dealing with accounts, budgets and expenses
- assisting Director General or her PA as necessary
Skills
- Proficiency in Microsoft Word and Microsoft Outlook (email and calendar) essential
- Knowledge of Microsoft Access and Excel an advantage
- Previous events experience required
- Excellent communication skills, ability to communicate at all levels
- Flexible working attitude
- Team player and willingness to help other team members
- Attention to detail
- Good organisational skills and able to follow up outstanding items as necessary
